Refund Policy

PhilProVA provides recruitment and placement services to help businesses hire Filipino remote talent through a direct-hire model. This Refund Policy explains how refunds and replacements are handled.

PhilProVA offers recruitment and placement services, which may include role scoping, candidate sourcing, screening, shortlisting, and interview coordination.

PhilProVA does not employ candidates, provide payroll services, or act as an employer of record.
Clients directly employ and compensate the hired candidate.

The placement fee is a one-time recruitment and placement fee.
Salary, benefits, and ongoing employment costs are paid directly by the client to the hired candidate.

2. When Payment Is Due

Clients are charged only after a successful hire.

A “successful hire” is defined as:

  • The client confirming acceptance of an offer, and

  • The candidate agreeing to start employment.

If a hired candidate leaves within 30 days of their start date due to performance or role fit, PhilProVA will provide a one-time replacement search at no additional cost.

The replacement guarantee applies only to the original role scope and requirements.

3. Replacement Guarantee

Refunds will not be issued in the following situations:

  • The client changes role requirements, seniority, or budget during the hiring process

  • Delays caused by lack of client feedback, interview availability, or decision-making

  • The client pauses or cancels hiring for internal reasons

  • The candidate leaves for reasons unrelated to performance or role fit (e.g., business closure, role elimination)

5. Situations Not Eligible for Refunds

Because PhilProVA provides a time-based recruitment service, refunds are limited.

Refunds may be considered only if:

  • PhilProVA is unable to present any suitable candidates within a reasonable timeframe, and

  • No hire has been made.

Once a candidate has been successfully hired, the placement fee is generally non-refundable, and the replacement guarantee applies instead.

Clients are encouraged to contact PhilProVA directly to resolve any concerns before initiating a payment dispute or chargeback.

Initiating a chargeback without prior communication may result in suspension of services and may void eligibility for replacement searches.
